Program Support Assistant

The incumbent provides coverage for the Administrative Officer during his/her absences consistent with established procedures. Coordinates meetings within the Service and with other Services within the medical center and answers incoming calls and allocate accordingly using independent decision-making skills and substantial knowledge of the Service. Typical duties include but are not limited to:
Incumbent enters pertinent information into computerized tracking systems such as spreadsheets, databases, for incorporation by the Administrative Officer, into reports/analysis for the Service. He/she uses software applications to draw information from the Medical Center/Radiology database (VISTA). Reviews documents, reports and applications for omissions and inconsistencies and ensures data entry is complete and accurate. He/she performs automation duties using software applications such as electronic mail, calendar, spreadsheet, data base, and or graphics. Incumbent assists other users with regards to selection of applicants, training on a variety of standard application packages, selection of appropriate formats and procedures for each task. Provides coverage for the Administrative Officer during his/her absences consistent with established procedures. Assists the Administrative Officer on a daily basis with program support work such as collection, compilation, research and/or tracking of data/statistics and program information for reports, budget and planning, personnel, procurement/contracting, accreditation compliance, and quality/productivity. Assists supervisors and employees with identifying training needs, schedules training in services and monitors employees' participation, assembles materials and training tools, as well as maintains all service training records. Provides training status reports to the Service Chief, Administrative Officer, and Chief Technologist. Generates reports with information relative to specific training requirements of the VHA. Makes administrative and financial arrangements for tuition, lodging and travel for the service related to continuing education, conferences, seminars, and site visits. Provides information and assistance to staff on all aspects of the tuition/travel request and approval process to facilitate applications. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
performs administrative functions for personnel; control and requisition of supplies, work orders, timecards and pay related matters; report flow, and project tracking; and is the subject matter expert (SME) with the maintenance and long-term enhancement of automated staff scheduling systems. Facilitates coordination of master staffing schedules for the Service, ensuring twenty-four/seven availability of personnel. Incumbent will ensure the daily staff requirements are met for the NM. Serves as a resource providing first line support of the NM in the utilization of VA national and local clinical applications programs. Compiles data from SharePoint sites, CPRS, and VISTA; analyzes data, produces flow charts and information briefings. Assists with organized and individual teaching duties including working with staff to use current technology in the service. You will be rated on the following Competencies for this position:

Physical Requirements:
The work is sedentary and is usually accomplished while the incumbent is comfortably seated at a desk or table. Some walking and standing may occur during a non-workday in connection with attendance at meetings and conferences, or while researching files. Items carried typically are light objects such as office supplies, briefcases, notebooks, and data processing reports.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
