Real Estate Company seeks Office Manager / Real Estate Administrative Assistant
Candidate must have current New Mexico broker license or be willing to attend class,
study and pass the license exam within 6 months of being employed.
Job Description:
Real Estate Company located in Albuquerque seeks an Office Manager / Real Estate
Administrative Assistant for an immediate temporary to permanent position.
Responsibilities Include:
Office Manager Duties:
? Administrative / Organizational Duties
? Oversee Outlook Calendar: Schedule / Confirm appointments
? Coordinating with brokers / colleagues on a variety of meetings and events
? Participating in the updating of company databases / contact lists
? Basic accounting and data entry
? Answer & process incoming calls; Maintain call Log; Arrange conference calls
? Outgoing calls for specific assignments
? Prepare & send any networking, marketing &/or informational mailers
? General typing & email correspondence
? Handling Copies, Faxes, Scanning, & Filing
? Schedule agent pipeline meetings and monthly territory cross selling meetings
? Prepare agent performance materials for pipeline meetings and implement
follow up actions as required
? Ordering &/or making restaurant reservations, handling any travel, or gift
purchases, if needed
? Desk & Personal Organization
? Excellent attendance and punctuality
? Receive and sort incoming mail
? Make copies and distribute
? Mail, fax, and courier documents
? Schedule meetings, prepare expense reports, coordinate travel plans, and
assist in the preparation of internal and external presentations to be made by
the Real Estate Asset Managers, Brokers, etc.
? Communicate with internal and external customers, vendors, etc., as required
? Type various correspondence, memos, email, sales items, various documents
? Create spreadsheets, documents, presentations, sales items (flyers)
? Assist with performing property inspections
? Assist with updating and running monthly reports to ensure accuracy
? Scan and image documents into the real estate management system
? Maintain and establish properties in the real estate management system
? Order supplies
? Assist in meeting monthly and annual compliance and regulatory deadlines
? Maintain file system for the management office
? Assist in performing market value research on properties
? File and monitor insurance certificates and claims
? Assist with bid process of contracted services
? Assist with preparing contracts and forms
? Review property tax protests, tax payments, and research tax issues
? Code all invoices and forward to the real estate accounting department
? Use social media, review social media sites, update as necessary
? Other duties to be assigned as necessary
Real Estate Administrative Duties:
? Assist with Social Media / Marketing / Recruiting efforts
? Undertake market research and assist with creating presentation materials
? Gathering of statistics / data (for input into growing database)
? Help coordinate marketing efforts to territory including email/fax blasts,
postcards, direct mailers, signs, etc.
? Coordinate/purchase tickets for Real Estate conferences / meetings that broker
must attend
? Compile and update data for the weekly, monthly, and quarterly management
reports
? Company Sales System/Website review to ensure that information is complete
and accurate
? MLS / IDX web site use and data entry, review, etc.
? Paperless system web site use
? Basic knowledge of leases
? Ability to give and take direction and to interface with decision makers in a
professional manner and maintain confidential information
? Provide assistance on special projects as needed
? Property Management assistance, manage tasks, rental property software
? Attend training classes
? Assist all brokers with preparing files for audit or storage (hard copy and cloud
copy)
? Other duties to be assigned as necessary

? Must be able to -- Use a small hammer to install real estate signs, carry
real estate signs, carry boxes up to 30 pounds on occasion like boxed
copy paper
? Must -- Have valid New Mexico driver's license, auto insurance, reliable
vehicle, and add the broker/company as an additional insured to the
policy.
