Maintenance Customer Service Associate
Summary:
Manages CSA accounts andassists the Account Managers and Business Development Manager when needed.
Primary
Responsibilities:
Oversees CSA accounts (i.
e.
, Tyson, Kellogg, Dentco, CBRE etc.
).
Receive email and phone communication from these customers and fulfills request as needed.
Ensures that the CSA contracts are being adhered to through the field operations team.
Account manager for residential/one-time call-in service requests.
This includes irrigation, spray, tree, and landscape cleanup services.
Provides excellent customer service through accurate communication and timely follow-up.
Coordinates scheduling of requests with operations team.
Prepares proposals as needed for CSA accounts, non-contracted clients, and residential customers as needed.
Reviews and approves completed work tickets for residential/non-contracted clients.
Notifies the client of work order changes.
Submits completed tickets to accounting for billing.
Submits work orders for new maintenance jobs upon startup.
This includes irrigation run through with maps, pre/post emergent spray, and any other work order requested for startup of a new job.
Manages contract compendium for maintenance accounts.
Tracks and prepares maintenance contract renewals, ensures monthly billing amount is accurate and what services are included and not included by contract (i.
e.
flowers or pet waste bags), and verifies contracts are assigned to the correct division.
Works closely with Account Managers to notify and follow through with customers to secure Maintenance Contract Renewals.
Manages snow contract.
Ensures all contracts are complete and accurate.
Information from snow services questionnaire and contracts is accurately transferred to the snow database spreadsheet.
Assists with preparing snow tickets as needed.
Trimm database management.
Ensures jobs are assigned to the write FOM and AM (according the to contract compendium.
Assists with troubleshooting issues as needed (i.
e.
phone not syncing with trim correctly) Manages Weathermatic inventory and controller database.
Ensuring enough inventory is on hand to support our clients' needs.
Using the Green Summit Estimator in Smart Sheets, performs estimating as required for enhancement proposals/bids.
Assist Account Managers in preparing proposals and estimates when needed.
Assist Account Managers in measuring of areas using near map or google earth to prepare take-offs for estimating.
Attends weekly Enhancement Scheduling and Sales meeting.
Reports on any new sales updates at this meeting.
Works closely with Account Managers and Field Operations Managers regarding scheduling, quality, and customer service.
Attends morning huddle meeting to provide and report daily activities to support Account Managers and Field Operations Managers Sends out annual service calendar letters/proposals (i.
e.
, Flower Proposals, Bagworm Letters, and Snow Services Agreements).
Upon receipt of the approved proposals/letters prepares and submits Packet Checklists for operations.
Assists account managers as needed, and available to, in preparing annual landscape budgets for clients, printing and preparing enhancement proposal packets, and preparing presentations for client meetings.
Assist in maintaining the Accounts Folders.
Maintains a list of current clients, prospective clients and past clients to support the marketing and sales efforts.
Sends out email blast reminders for holidays or no service reminders etc.
Other duties as assigned by your supervisor or a member of the leadership team.
