VOS - Front Desk Coordinator

Front Desk Coordinator position will entail providing patients with excellent service in various areas such as answering phones, scheduling, checking patients in/out, verifying insurance through various parties, This individual will be required to time manage efficiently.

Essential Functions:
1. Answer and route incoming call using multiline telephone system.
2. Hospitably greet and disposition patients, clients, vendors, visitors, etc.
3. Schedule patients within 2 hours of receiving information of demographics and insurance to proper location. Tracking and follow-up are crucial.
4. Authorization/Verification process includes evaluating, verifying, coding, all patient's insurance information so proper billing and reimbursement may be attained.
5. Maintain all of the patient's information current.
6. Coordinate with Billing and Accounting department.
7. Receiving and sorting mail, opening and scanning invoices to Accounts Payable.
8. Scan completed billing information to Billing Department daily by 5:30pm.
9. Pulling charts within a two hour time frame when requested by staff and filing completed charts.
10. Verify insurance and benefits for patients before their scheduled appointments, using interoffice forms to complete this task as well as thoroughly document the patient's chart with such information.
11. Work with patients who fall under the Workers Compensation category with vast amount of detail.
12. Maintain tidiness of reception and other public areas.
13. Maintain acceptable attendance performance in accordance with company attendance policy.

Responsibilities:
1. Comply with all written and stated company policies and procedures. Report any policy violations, unsafe practices or other concerns to immediate supervisor or Human Resources.
2. Back up and support other department team members as necessary.
3. Other duties as required.
Supervision: Receives general supervision from practice administrator, scheduling and daily job functions and assists in directing the efforts of other team members in fulfilling the required duties.
Education and
Experience:
1. High School Diploma/GED required. Some college is preferred.
2. Previous knowledge of medical front office administration is plus.

1. Excellent verbal and written communication skills;
2. Excellent organizational skills;
3. Ability to handle several tasks at one time;
4. Great attention to detail.
Professional Skills :
1. Ability to interact in a positive manner and communicate well with all management, co-workers, clients, vendors, patients, families, and supervisor.
2. Understand insurance cards and major medical benefits
3. ICD-9 and CPT coding is a plus.
4. Strong knowledge of insurance rules and contracts preferred.
Technical Skills :
1. Typing and computer skills, ability to type a minimum of 40 WPM
2. Ability to learn medical software programs and MS Office.
3. Problem solving skills.
Language Skills: Ability to communicate with immediate supervisor, other team members in addition to patients, clients, vendors, and insurance companies.
Reasoning Abilities: General common sense understanding and ability to deal with standard situations and occasional changes in process without significant oversight and management direction.
Physical Requirements:
2. Ability to communicate in positive manner, in both verbal and written form, with patients, coworkers and associates frequently.
3. Comply with company dress code.
4. Hearing requirements include perceiving the nature of sounds at normal speaking levels with or without correction.
5. Visual requirements include having the visual capacity to determine accuracy and thoroughness to perform job functions with or without correction.
Working Conditions:
1. Well-lighted, indoor, air-conditioned setting with comfortable conditions.
2. Manual dexterity and good eye to hand coordination sufficient to reach, handle components and repetitive hand motions.
3. Lifting requirements for the position are generally less than 10 pounds.
4. Physical demands of this job classification are generally light performed from a sitting position for significant periods of time.
